SERVICE OVERVIEW
Maintenance & Vendor Oversight at a Glance
Choose Maintenance & Vendor Oversight when maintenance is the principal requirement and you need reliable local coordination of providers, access, proposals and approved work—without transferring broader responsibility for the residence.
Who It Is For
Second-home owners and seasonal residents who continue making their own residence decisions but need someone locally to coordinate recurring maintenance and approved service providers.
The Problem It Solves
Appointments, property access, proposals, approvals, provider attendance and follow-up can quickly become disconnected when the owner is away.
What It Provides
Preventive-maintenance coordination, provider scheduling, proposal organization, authorized residence access, appointment attendance when agreed, photographic documentation and follow-through on open matters.
When to Choose It
Choose this service when your primary need involves maintaining the residence and coordinating the people responsible for its systems, repairs and recurring service requirements.
ONGOING MAINTENANCE
Coordinating the People and Systems That Keep Your Residence Running
A private residence may depend on numerous independent specialists. The challenge is not simply finding someone who can perform a particular task—it is maintaining continuity across providers, appointments and open matters.
Private Living develops the maintenance structure around the residence itself rather than applying the same checklist to every home.
Depending on the residence and agreed scope, coordination may involve:
Climate, Plumbing & Water Systems
HVAC servicing, filters, pumps, water heaters, filtration, pressure systems, visible leaks and other household water requirements.
Pool, Spa, Landscape & Irrigation
Recurring service, equipment concerns, pumps, filtration, heating systems, landscaping and irrigation requirements.
Electrical, Generator & Energy Systems
Qualified providers for identified electrical concerns, generators, solar equipment, batteries and related residence infrastructure.
Smart-Home, Technology & Access Systems
Home automation, internet, audiovisual systems, gates, locks, cameras and other authorized residential technology or access systems.
Exterior & Architectural Maintenance
Doors, windows, hardware, sealants, coatings, stone, wood, metal elements and other exterior components requiring recurring or corrective attention.
General Residential Repairs
Approved household repairs requiring appropriate independent trades or specialist providers.
When specialist work is required, Private Living coordinates with the appropriate independent provider rather than attempting to replace them.
HOW IT WORKS
From Maintenance Requirement to Documented Follow-Through
1. Identify & Document
A maintenance requirement may arise through a residence visit, maintenance calendar, owner request, household provider or another authorized source.
The matter is documented and communicated according to the agreed service structure.
2. Review the Appropriate Response
When specialist evaluation is required, Private Living coordinates with the appropriate independent provider and, when requested, helps organize quotations or proposals for owner review.
Technical diagnosis and professional recommendations remain the responsibility of the qualified provider.
3. Owner Approval
Material expenses and work proceed according to the approval procedures and spending authority established with the owner.
Important decisions remain yours.
4. Coordinate Access & Attendance
Private Living schedules approved providers, organizes authorized residence access and, where included in the service scope, attends relevant appointments.
This is particularly useful when the residence is unoccupied.
5. Document & Follow Through
Relevant work may be documented through photographs, provider communication, notes and open-item tracking.
When additional work, information or a return visit is required, Private Living helps keep the approved matter moving toward completion.
OWNER-SIDE OVERSIGHT
We Coordinate the Provider. We Represent the Owner.
Contractors and service companies remain responsible for their own technical work.
Private Living remains focused on the residence and the owner's approved interests.
That distinction matters.
Depending on the engagement, our role may include:
✓ Scheduling providers and coordinating residence access
✓ Organizing proposals and owner approvals
✓ Communicating approved owner instructions
✓ Attending relevant appointments and documenting visible progress
✓ Tracking return visits, outstanding items and apparent completion
✓ Maintaining relevant service records, warranties and maintenance information
Professional coordination can be provided in English and Spanish between international homeowners and local service providers.
Our role is to keep owner instructions clear, documentation organized and approved matters moving forward.
DOCUMENTED FOLLOW-THROUGH
Clear Visibility After the Service Call
One of the difficulties of maintaining a second home remotely is not always knowing what happened after a provider was contacted.
Private Living helps maintain an organized record of relevant open matters so follow-through does not depend entirely on memory, scattered text messages or disconnected conversations with multiple providers.
Depending on the engagement, owner updates may include identified maintenance matters, scheduled appointments, proposals awaiting approval, approved work in progress, photographic documentation, outstanding decisions, return visits and apparent completion status.
The objective is simple: greater visibility into what is happening at your residence without requiring you to personally manage every service call from a distance.
LOCAL RESIDENCE CARE
Maintenance Oversight for Los Cabos Conditions
Second homes in Los Cabos may remain lightly occupied or unoccupied for extended periods while still depending on numerous active systems and outside providers.
Strong sun, heat, marine air, seasonal humidity, wind, water-management requirements, landscape conditions and hurricane season can all create recurring maintenance responsibilities.
The appropriate response is not constant intervention.
It is consistent oversight.
Private Living helps organize preventive and seasonal requirements so identified concerns and approved repairs can be addressed through appropriate providers with clear communication and documented follow-through.
YOUR PROVIDERS
We Can Work With the People You Already Trust
Private Living does not require owners to replace established service providers.
If you already work with trusted technicians, contractors, landscapers, pool companies or other specialists, we can coordinate with them within the agreed scope.
Where an appropriate provider is not already established, Private Living may help identify independent options for owner consideration. Final provider selection remains subject to the owner's approval and the requirements of the particular work.
For residences within managed communities, Private Living can also coordinate appropriately with HOA administration, community management, resort or club management, security administration, architectural committees and authorized maintenance departments when those relationships affect the residence.
The objective is to complement existing relationships—not unnecessarily replace or duplicate them.
CHOOSING THE RIGHT SERVICE
Maintenance Oversight, Project Oversight or Residence Management?
These services solve different levels of need.
Maintenance & Vendor Oversight
Best when the principal requirement is recurring servicing, repairs, replacement requirements and coordination of maintenance providers.
Current Service
Projects & Renovation Oversight
Best for defined installations, renovations and multi-stage residential improvements involving contractors, scope, schedules, budgets, approvals and completion requirements.
Private Residence Management
Best when maintenance is only one part of a broader ongoing requirement involving the residence, household administration, providers, arrivals, owner priorities and recurring responsibilities throughout the year.
The right level depends on how much responsibility you want coordinated locally.
PROFESSIONAL SCOPE
Clear Authority. Professional Boundaries.
Private Living provides maintenance coordination, vendor oversight and owner-side follow-through.
Independent contractors, technicians, engineers, architects and other qualified providers remain responsible for their own technical diagnoses, recommendations, workmanship, warranties, licenses, certifications and professional obligations.
Private Living does not replace or technically certify the work of those providers.
